TOPSpro won’t load when I login to my laptop with my District login.

  • If TOPSpro was installed on your laptop while it was logged in as “topspro” it may not load or run correctly when you login to your laptop with a District login.

  • If this is the case you will need to log off and then log back in as “topspro”.

  • The same thing can happen in reverse. If you are logged in as “topspro” and things don't work, try logging back in with a District login.

  • Remember: No password is needed to login to your laptop as “topspro”.

I created a record for a new class or student and now I can’t find it.

When a new class or student record is created in TOPSpro it will not show up until a test is entered for that student or class with a date that falls within the current school year.

  • To view a new class or a student record that does not have a current test assigned, clear the check mark next to Pgm Year in the Class or Student Lister and requery.

The Scantron machine won’t scan anything in and/or gives error messages.

How do I configure the Scantron machine?

Before scanning for the first time, the Scantron and the laptop must be configured. (This is a one time process.) Configuring the Scantron is done by scanning in a special Scantron page called the “Optical Mark Reader Communications Configuration Form - 48-Channel Version” This form must have the proper settings bubbled in with a #2 pencil.

The Scantron settings to be bubbled in are: (Don’t worry, if these are not already shaded in on the form.)

Baud Rate:  19.2K Word Length:  8 Stop Bits:  1
Handshake (HS):  None Parity:  None CTS:  Off
CMD Prefix:  027 EOF Char:  013  

Steps to follow to configure the Scantron:

  1. Before scanning the configuration page, make sure the Scantron is hooked up and the power is off.

  2. Place the configuration page face up on the Scantron.

  3. Turn the power on while holding down the End button.

  4. After the machine powers up, hit Sel twice. (This will scan in the configuration page.)

  5. Then hit the following keys: Key 1, End, Key 1, Sel, Sel.

Steps to follow to configure TOPSpro to use the Scantron:

  1. Before scanning, there is a one-time setup you will need to make in TOPSpro so the laptop can communicate with the Scantron.

  2. Open TOPSpro

  3. Click on Tools | Options | Scanning

  4. Next to Scanner Type select ScanMark 2000 Series

  5. Confirm the following settings, making any changes necessary:

Baud Rate: 19200 Stop Bits: 1 bit COMM Port: 1
Data Bits: 8 bits Parity: None Scanner Sensitivity: 3
  1. Click OK when finished.


Steps to follow to scan (once the configuration above has been completed):

  1. After the Scantron has been configured, it is controlled from within TOPSpro.

  2. Make sure that the Scantron is attached to the laptop (with the serial cable) and that the Scantron is plugged in and that the power is turned on.

  3. Click on the TOPSpro “Scanning” menu and then make your selection (e.g., “Test Records ”).

  4. Make any changes needed to the “Override” screen and then click on “Continue”.

  5. From the TOPSscan dialog box, click on “Scan” when ready to begin.

  6. Click on “End Session” when all tests have been scanned in. Then click OK.

  7. If desired, you can view the test confirmation results page, or just click “Cancel” to clear the screen.

Multi-Page Scanning: How Can I Scan in More than One Page at a Time?

The Scantron can scan in up to 150 pages at a time. Here’s what you need to do in order to scan more than one page at a time:

  1. Pull down the support bail (J), blue arrow on the diagram below, in order to place the scanner in a slanted position. This helps the forms stack properly in the hopper.

  2. Press on the input hopper tray (F), red arrow on the diagram below, to lower it into position for multi-page scanning.

  3. Place a stack of forms face up on the tray so that they are against the left edge of the input hopper.

  4. Press on the input hopper a second time to raise it into position for scanning.

  5. You are now ready to start scanning using the TOPSpro software.

The TOPSpro automatic PDF report maker doesn’t work.

TOPSpro has the capability of creating a variety of reports in PDF format. This is done by clicking on the PDF button on the toolbar of the particular screen or form you are viewing in TOPSpro.

  • This automatic PDF creation feature is supposed to be enabled when TOPSpro is installed, but often it is not.

  • To check to see if this feature was enabled, click on Start, then Printers and Faxes.

  • If you see two printers named “Amyuni Document Converter” and “TOPS PDF Driver 210”, then the PDF report creator has been properly installed and enabled.

  • If not, then do the following:

How to enable PDF reports

  1. Click here to download PDF Creator Installer.

  2. Then click Open and then Run.

  3. Wait while PDF Creator is installed.

  4. Click on Start and then click on Printers and Faxes.

  5. If you see the printers “Amyuni Document Converter” and “TOPS PDF Driver 210” then the PDF Creator was successfully installed.

PDF reports you create are stored in a Reports Output subdirectory of TOPSpro which is located on your C: drive in the Program Files directory.

By the way, did you know that PDF stands for “Portable Document Format”?
