Electronic waste, or “e-waste” as it is commonly called, is generated on every school campus and at every District facility. The term “e-waste” can include many types of devices, as well as the many accessories associated with those devices. Unfortunately, most electronic equipment contains hazardous materials (e.g., heavy metals, fire retardants) which are harmful to human health and the environment if not disposed of properly. This webpage provides guidance on the proper procedures for managing e-waste in the District. This program applies only to those e-waste items listed in the column to the right, "Acceptable Items".

How to Store E-Waste

Each school and ancillary facility should store E-waste in a secure and dry area, preferably in a central location.

GAYLORD BOX: Schools or facilities may order a "Gaylord" box for storage of miscellaneous E-waste, such as computer accessories. This box is 4' x 4' and comes with a wooden pallet that is placed beneath the box. Your school or facility needs to select an appropriate place for Gaylord box placement, keeping in mind that the door to the area should be wide enough to accommodate a pallet jack. In addition, the area needs to be a secure and  indoor location that is protected from the weather and other adverse conditions. Some schools make arrangements to keep their Gaylord box in the custodial receiving area. It is acceptable if schools choose not to have a Gaylord box due to space limitations. Important, this box is for miscellaneous e-waste items only! Please read next section below for storage requirements for CPUs, laptops, LCDs and monitors.

COMPUTERS, LAPTOPS, LCD's & MONITORS: These items should NOT be placed in a Gaylord box, since they may break when placed in the box. Instead, these items should be stored in one of the following ways: on a separate pallet, in stacks of like items, on shelves, in an empty classroom or closet, or on media carts. These items will be field counted, stacked, palletized, and shrink-wrapped by the vendor at the time of pickup. 


How to Schedule An E-Waste Pickup

Once the Gaylord box is three-quarters (3/4) full and/or schools have collected the equivalent of at least one (1) pallet of materials (e.g., 40-50 CPUs, 25-40 monitors), schools and facilities may submit a pickup request. Ensure that all the materials are gathered in one location to the greatest extent possible.

To request a pickup, submit an Electronic Waste Pickup Request Form with all the required information. Pickups will occur within 20 business days from the date of the request for service. The vendor will contact you in advance to let you know your scheduled day. You must confirm the date with the vendor. In addition, you (or a designee) must be present during the entire length of the pickup to ensure that only the correct items are collected by the vendor.  At the time of pickup, schools will asked to sign a "Pickup Sheet". This document will be provided by the driver and will list an infield count of the types and number of items that are being collected.

How to Handle Other Common Recyclable Materials

Rechargeable batteries

Rechargeable batteries should be collected in the blue, labeled, 5-gallon bucket provided by the District’s Environmental & Conservation Services Department (ECS). Containers can be obtained and pickups scheduled by calling ECS at  561-684-5154 (PX 45154).

The only types of batteries that will be accepted are:

  • Nickel-Cadmium (or, “Ni-Cad”)
  • Nickel-Metal Hydride (or, “NiMH”)
  • Small sealed lead-acid
  • Lithium ion

No single-use alkaline batteries will be accepted in the blue bucket—these can be thrown in the regular trash.

Note: Keep batteries in laptops if disposing of them as E-waste.

District-owned cell phones

District-owned cell phones are to be returned to the District's service provider, Sprint, in care of the Helen Hironimus in the Information Technology Department. These phones are covered by a trade-in program managed by Sprint and therefore, should NOT be recycled in any other manner.

Ink and toner cartridges & personal cell phones

Ink & toner cartridge and personal cell phone recycling services are provided by the District's vendor, Dade Recycling. The company will place a bin at your school and then when the bin is full, they will pick it up and issue the school a check for the proceeds. It's as easy as that!  Read the 2010 Bulletin for important details.

Fluorescent Light Bulbs and Projector Bulbs

Fluorescent light bulbs contain mercury and must therefore be recycled and not disposed in the regular trash. Schools and ancillary facilities may call 321-952-1516 to arrange for a pickup by the District's approved vendor, AERC Recycling Solutions, Inc., when a minimum of ten (10) boxes of spent fluorescent bulbs have been accumulated. Please refer to the 2017 Bulletin PD 17-230 COO for additional details, including on-site storage and labeling requirements.


Maintain Proper Records

It is the school or department's responsibility to properly transfer and dispose of assets in PeopleSoft (or Destiny, if applicable) prior to requesting a pickup. It is also recommended that schools and/or departments maintain their own record of all school property.


How to Protect the Security of Computer Data

Data loss prevention is very important to the District.  As such, the Information Technology Department is in the process of developing a new District policy that will address all aspects of data loss prevention. Integrated into the new policy will be a comprehensive set of standards.  The policy will provide specific guidance to District personnel responsible for data security. Questions about computer security and data destruction should be directed to the IT Service Desk (PX 44100 or (561) 242-4100) for routing to the appropriate personnel.
